Xerox Phaser 6500-series printer setup instuctions

These instructions are for configuring a Mac or Windows computer to use a Xerox Phaser 6500/N or 6500/DN printer. We currently have these printers deployed in:

• Meliora 114, (printer name = "bcs117color.bcs.rochester.edu", Phaser 6500/N)
• Meliora 160, (printer name = "bcs160color.bcs.rochester.edu", Phaser 6500/DN)
• Meliora 401, (printer name = "bcs401color.bcs.rochester.edu", Phaser 6500/DN)
• Meliora 414 (printer name = "bcs414color.bcs.rochester.edu", Phaser 6500/DN)
• Yoon Lab at the Med Center (printer name = "cvs006.urmc-sh.rochester.edu")

Step 1: Enabling LPR/LPD support in Windows

If you are running Windows, you need to make sure that LPD/LPR printing is enabled on your computer..it's disabled by default. The instructions for enabling it are here: EnableLpdPrinting

Step 2: Download the driver software

Download and run the correct printer driver installation program. You'll find what you need here:

For Macs, this installer only adds the printer driver to your computer. You'll need to continue to Step 3 to actually add the printer to your computer.

Step 3: Add the printer to your computer

Assuming you have obtained the name(s) of the printer(s) you wish to add (please see list above), here's how you add them:

Mac OSX

1. Select 'System Preferences' from the Apple menu at the top left corner of the desktop.

2. Click on the 'Print & Fax' preference pane. Once open, click on the'+' button in the bottom left corner of the preference pane. Select the 'IP' icon in the resulting window. Printing protocol should be "LPD".

3. Enter the name of the printer, which will be something like 'cvsprintername.cvs.rochester.edu' or 'bcsprintername.bcs.rochester.edu'. Do not be stunned if you are running OSX 10.7 or 10.8 and the Mac considers the address invalid...it actually is. Don't ask me why it does this.

4. If OSX doesn't automatically detect what kind of printer it is, click on the 'Print Using' pull-down menu and select 'Select a driver to use'. Find your printer in the list, and select it.

5. Click the "Add" button to add the printer. That's it!

Windows 7

1. Click on Start -> Devices and Printers. Select the "Add a Printer" option.

2. Select the option "Add a local printer".

3. Click on "Create a new port" and specify the type of port as "LPR Port". Click "Next". NOTE: If this printer is a replacement for an old printer, and this printer uses the same address as the old one, the port will already exist in Windows. In that case, select the "Use Existing Port" option instead, and select the port with the address of the printer.

4. On the "Add Printer" page, enter the address of the printer in both fields. Click "Next".

5. In the next window, select the manufacturer of your printer from the left column, then the model from the right column, and click "Next". If the printer model doesn't appear, but you have downloaded and "installed" the correct driver, then click on "Have Disk". Navigate to the directory where the driver was installed (if you are not placed there automatically), and select the file you find inside.

6. For the Printer name, enter something descriptive. Click "Next".

7. In the next window, click on "Do not share this printer". Click "Next".

8. In the next window, do not printer a test page. Click "Next".

10. In the next (and last) window, click on "Finish". The computer will do what it needs to do, and the printer will be ready to go once the computer is done.

Linux

These instructions are for Linux Mint 17.3. They may or may not be applicable to other Linux distributions, but should be pretty close for anything based on Ubuntu.

1. Unzip the printer driver you downloaded. When doing this, note that the zip contains the directory "usr/share/cups/model/Xerox", with two PPD files in the "Xerox" folder.

2. Open a shell and use the "sudo -s" command to become superuser.

3. Copy the two PPD files to the "/usr/share/cups/model" directory on your computer (you can put them in a subfolder called "Xerox" if you like, but it's not necessary).

4. Open the "Printers" program (found under the "Administration" menu in the Linux Mint equivalent to the Windows Start Menu).

5. Click on "Add".

6. Under the "Select Device" area, click on the arrow next to "Network Printer". Select "LPD/LPR Host or Printer".

7. Enter the address of the printer in the "Host" and "Queue" fields, then click the "Forward" button.

8. In the "Choose Driver" window, select the "Provide PPD file" option. Click on the file selector button that will appear below it, navigate to the "/usr/share/cups/model" folder, and select the PPD file appropriate to the printer you have (either the 6500/DN or 6500/N). Click the "Forward" button.

9. In the "Installable Options" window, set memory amount to "Standard 256MB", paper tray configuration to "1-Tray", and uncheck the "RAM Disk" option. If the printer is a 6500/N, uncheck the "Duplex Unit" option as well. Then click the "Forward" button.

10. (Optional) Change the names of the printer to whatever you like, then click the "Apply" button. You'll then get a window asking if you want to print a test page. Do so to make sure your printer is working. If it prints out, you're done.
