F6 Key

We assign these letters to be used on subject receipts and on the petty cash form F6. They are totally arbitrary but must match across the receipts (redcap) and petty cash form (F6).

Account Number

This number comes from the accounting office. The number can change over the lifetime of a grant, which we typically find out when either a petty cash or ordering request bounces back through Debbie/Michele S/Paula. If you get notification of a number change, you MUST update it across all records as follows.

When a grant closes, account number changes, or we get a new grant, the account number needs to be updated in the following places:

Fab Tag

2 pieced of equipment have a fabrication tag in our lab:

Coil eye tracker was an existing piece of equipment that transferred from Boston. Upgrades and repairs do not fall under fabrications.

A fabrication tag is requested when you're going to build something from scratch in house rather than purchase a piece of equipment from an external source.

Equipment is exempt from indirect costs, therefore, the parts needed to build the piece of equipment are also exempt when they are associated with a tag. The cost of the parts needed must exceed $1K in order to be considered a piece of equipment. You would not include things like tools or general lab supplies unless it was something specifically related to the construction of the piece of equipment.

EQUIPMENT - FABRICATION Fabrication of Special Purpose Capital Equipment The following establishes a policy and working procedure when a Principal Investigator wishes to build or fabricate a piece of capital equipment. These instances arise when it is more economically feasible or fabrication is the only means of acquiring the specialized equipment. The budget line items associated with the fabrication include purchases of items that are less than $1,000; these costs are exempt from F&A (indirect) costs.

Definition Special purpose equipment that is to be assembled or fabricated will result in an article of nonexpendable tangible property having a total acquisition cost of $1,000 or more. The unit consists of items or assemblies of parts that are interconnected and interdependent so as to become a new functional entity for special purposes. "Special purpose equipment" means equipment which is used only for research, medical, scientific, or other technical activity.
